How to set up a weekly timesheet approval process

Define the period and responsibilities first

Clarify the week being reviewed, who records time and who checks it. Reports generated at different times by different teams can produce conflicting totals for the same project. Set a shared closing and review schedule.

Use a three-stage review

In an example process, team members complete daily entries, check their records at week end and an authorized person performs the weekly review. This is a process suggestion; adapt it to your calendar and permissions.

  1. Entry: complete task, date, duration and description.
  2. Review: check incorrect tasks, duplicate time and missing days.
  3. Reporting: use the same date range and entry scope.

Handle corrections before reporting

Changing only total hours can hide the cause of a bad entry. An incorrect task and an incorrect duration need different corrections. A clear reason helps prevent the same mistake in later weeks.
